Senior Administrative Associate

  • Provides administrative support to division or departmental staff; receives and processes incoming calls; prepares and maintains detailed and/or confidential records, written and verbal communications and files; prepares reports; maintains calendar of division business.
  • Handles inquiries or complaints in person, written and by telephone; provides information; assists with the completion of records, applications, documents, etc.; processes various applications; forwards issues and/or directs visitor(s) to appropriate party as needed.
  • Enters a variety of data into computer; verifies statistical and other records for accuracy and completeness; enters and retrieves sensitive and restricted information into computer system.
  • Maintains financial records; Processes accounts receivable, accounts payable, payroll, budgetary and other financial data; makes deposits; reconciles invoices with payment vouchers; prepares bills; performs calculations and posts to statistical and other records applying knowledge of regulations; assists with budget preparation.
  • Supports the Commission through active participation in meetings to include maintaining a working knowledge of the objectives and contributing current information received through the Commission; taking and/or transcribing dictation; typing a variety of documents including correspondence, forms, reports, purchase orders, requisitions, resolutions, ordinances, proclamations, meeting minutes, agendas, website content, and related documents, where a knowledge of format and presentation is necessary; answers routine correspondence independently.
  • Places advertisements with local media for public meetings, hearings, and requests for proposal
  • Plans, prepares documentation, and coordinates meetings and programs.
  • Prepares and distributes job advertisements; maintains application files; schedules testing and new employee orientations; prepares and processes various personnel, worker’s compensation, and insurance forms.
  • Prepares and maintains a variety of office files, accounts, and other records; prepares statistical and financial reports; assists with processing budget information.
  • Prepares financial, statistical and project status reports, spreadsheets, and work papers; receives and accounts for various revenues.
  • Assists with training subordinate personnel; maintains division or department work schedules.
  • Maintains inventories and orders supplies; prepares work orders; maintains various databases.
  • Operates a variety of standard office equipment; receives and processes mail.
  • Assists with scheduling facility use and special events; books and assigns meeting rooms, etc.
  • Accomplishes all tasks appropriately as assigned or requested by management; performs related tasks as required.
  • Promotes teamwork and collaborates with co-workers; shows initiative in overcoming obstacles, takes actions which assist others to ensure maximum productivity, and has a positive impact on co-workers, and visitors.
  • Represents the Commission on behalf of the Executive Director on an as-needed basis
  • Performs special projects and assembles various data as directed for specialized studies and reports as assigned.

    Preferred Experience includes:

  • High School Graduation or GED and a minimum of two years of office management experience required. Additional professional experience and education preferred.
